Reports To: Senior Production Manager
Department: Production Administration

Essential Responsibilities
The Production Administration Manager, under the direction of the Senior Production Manager, will direct and manage, through subordinate personnel, administrative support activities concerned with the successful completion of multiple projects, with multi-units per project, for bus remanufacturing, interior rehabs, accident and fire repair, and alternative fuel conversions of vehicles, utilizing knowledge of product technology, production methods and procedures, and capabilities of machines and equipment. 

Specific Responsibilities
  • Under the direction of the SPM execute the administrative tasks necessary to plan the production scheduling and day-to-day activities of multiple projects.
  • Under the direction of the SPM execute the administrative tasks necessary to plan manpower requirements and oversees the creation and distribution of the weekly manpower report.
  • Oversees and directs bus inventory moves nationwide.
  • Under the direction of the SPM and Director of Contracts oversee the scheduling and delivery of completed units to ensure timely delivery.
  • Coordination of incoming units and oversees the preparation of necessary work orders.
  • Creates and maintains specialized reports.
  • Gathers, analyzes, summarizes and/or reviews data needed for costing reports; reports findings, interprets results and/or makes recommendations as part of the Job Closeout Process.
  • Assist the SPM with monitoring the workflow of the production work orders by making sure inventory quantities, supplies, and materials are available to start and continue each project.
  • Communicates effectively with production supervisors to determine the status of assigned work order or tasks.
  • Ensures Bill of Material is issued and allocated for each work-order as part of the Job Closeout Process.
  • Oversees the making of travel arrangements for off-site personnel working at customer facilities.
  • Supervises subordinate personnel including hiring, determining workload, delegating assignments, training, monitoring, and evaluating performance, and initiating corrective or disciplinary actions.
  • Additional cross-functional duties as assigned.

Required Qualifications
  • A combination of over seven years of directly related training and/or experience is required for carrying out the responsibilities for this job.
  • Knowledge of procurement and/or administration of contracts, or similar agreements.
  • Minimum of 3 years’ experience in production project management or similar.
  • Strong computer skills (MS Word, MS Excel, Outlook; MS Access is a plus).
  • Strong supervisory skills.
  • Ability to assess personnel requirements and evaluate subordinate performance.
  • Ability to work under pressure and under strict deadlines.
  • Excellent written and verbal communication skills.
  • Excellent interpersonal skills using tact, patience, and courtesy.
  • Strong follow-up and tracking skills.
  • Attention to detail.
  • AA degree preferred.

Must be able to:
  • Spend long hours sitting and using office equipment and computers. The Production Administration Manager may also have to do some light lifting of supplies and materials from time to time.
  • Climb up and down stairs.
