Essential Responsibilities
The Receptionist/Office Asst., under the direction of the Executive Administrator, is responsible for multiple administrative job duties which include answering phone lines, greeting and directing guests,
ordering supplies and company cell phones as well as coordinating and tracking cell phones. 
Specific Responsibilities
  • Maintains office operations by receiving and distributing communication
  • Answers multiple phone lines for multiple companies
  • Greets and directs guests
  • Orders and maintains office supplies and equipment
  • Maintains security by following procedures and monitoring faxes
  • Arranging couriers and package delivery
  • Handles paperwork appropriately with accuracy; record keeping
  • Draft and finalize emails and other correspondence
  • Create and maintain Excel files
  • Order and track company cell phones, copies, and printers
  • Obtain and track Certificates of Insurance from onsite vendors
  • Expense reports
  • Monitor corporate deadlines for insurance taxes and licenses
  • Maintains a safe and clean reception area by complying with procedures, rules, and regulations
  • Additional administrative and support functions as needed
Required Qualifications
  • Minimum 2 years of experience in Administrative or Clerical work
  • Receptionist experience with multiple line switchboard
  • Modern office practices, procedures, and equipment
  • Must have valid driver’s license
  • Ability to work under minimum supervision while working in a team-oriented environment
  • Moderate computer skills with experience in Microsoft Office programs such as PowerPoint, Excel and Word
  • Ability to work under pressure under strict deadlines
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills using tact, patience and courtesy
  • Ability to multi-task with attention to detail
  • Accounting background a plus
  • Bilingual a plus
Must be able to:
  • Sit for prolonged periods of time
  • Carry, pull and push up to 25 pounds of dead weight
  • Climb up and down a ladder
  • Sit, stand stoop, kneel, squat, crouch and or crawl 
  • Twist or turn in confined spaces
