Essential Responsibilities
The Administrative Assistant, under the direction of the Executive Administrator, is responsible for all office operations and administrative support functions required to assist the Executive Administrator and the President.  The Administrative Assistant is responsible for multiple phone lines, greeting and directing guests, distributing mail, and other administrative job duties.
 
Specific Responsibilities
  • Maintain and oversee office operations which include mail, cell phones, office supplies, equipment, executive luncheons, utilities accounts, credit card accounts, and bank accounts
  • Backup receptionist
  • Maintain contact with tenants regarding payment of utilities
  • Maintain aircraft files and record keeping
  • Keeps accurate records and handles paperwork appropriately
  • Draft and finalize emails and other correspondence including assisting with press releases and company newsletter
  • Create and maintain Excel spreadsheets for Quicken, travel, expense, and legal files
  • Coordinate and calendar all travel and lodging accommodations for the President
  • Prepare check requests, expense reports, and checks for signature
  • Additional administrative and support functions as needed
 
Required Qualifications
  • Minimum 2 years of experience in Administrative work
  • Accounting experience preferred
  • Modern office practices, procedures, and equipment
  • Ability to work under minimum supervision while working in a team-oriented environment
  • Advanced computer skills and experience in Microsoft Office programs such as PowerPoint, Excel, and Word
  • Experience using Quicken
  • Ability to work under pressure under strict deadlines
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills using tact, patience and courtesy
  • Bilingual a plus
 
 
Must be able to:
  • Carry, pull and push up to 25 pounds of dead weight
  • Climb up and down a ladder
  • Sit, stand stoop, kneel, squat, crouch and or crawl 
  • Twist or turn in confined spaces
